Kiosk RFQ checklist for module interfaces: Mounting Pitch, Connector Type and Service Clearance

A kiosk RFQ checklist for module interfaces turns “compatible” into an auditable commitment: each module row must state mounting pitch and hole pattern, connector family and pinout, cable bend radius, internal service clearance, and a substitution-approval rule. Without those five statements, a quotation is a catalogue claim, not an interface commitment you can enforce at goods-in.

Why “Compatible” Is Not an Interface Commitment

An interface commitment is a written, checkable statement of how a module physically and electrically attaches to the enclosure — pitch, hole pattern, connector family, pinout, clearance, and the party that owns the interface. A catalogue line saying a unit is compatible with EMV readers commits the vendor to nothing you can measure or reject against.

Procurement teams writing a self-service kiosk quotation checklist usually capture the module list first: printer width, scanner type, EMV bracket specification, cash acceptor capacity ([1]). That list names what goes in the box. It does not say how the box holds it, and the gap between those two questions is where rework, field-drilled brackets and mid-project change orders originate.

The test is simple: if the vendor’s answer cannot be traced to a drawing, it is a marketing statement. Ask for the drawing reference next to the value, and you have converted the claim into a procurement obligation the vendor must honour or formally revise.

Catalogue claim: “Compatible with EMV readers.” Interface commitment: “Card reader bracket per drawing KSK-SKP-0421 rev C, M4 mounting pitch 60 x 40 mm, hole pattern 4 x M4 through, USB 2.0 Type-A receptacle, pinout per vendor datasheet attached.”

The Five Interface Details Each Module Clause Should Force the Vendor to State

A kiosk peripheral module integration specification is only as strong as the number of disclosures it forces, so write the RFQ so that every module row carries the same five obligations. Number them once in the document and reference the numbering in each row, rather than repeating the wording module by module.

  1. Mounting pitch and hole pattern. State the centre-to-centre distance and hole diameter so the bracket, not the assembly line, absorbs any tolerance error. Without it, the vendor can re-drill during assembly and still claim compliance.
  2. Connector family and pinout disclosure. Name the connector standard, gender, pin count and pinout source. This is the single disclosure that makes an interface reproducible across a second production batch or a replacement unit.
  3. Cable bend radius and routing allowance. Each harness needs a documented minimum bend radius and a stated routing path. Undocumented routing is the most common cause of intermittent faults after shipping.
  4. Internal service clearance. Give a measurable clearance at the module face. This figure decides whether a technician can reach the module without removing the enclosure from the wall or floor.
  5. Substitution-approval rule. State that no module may be substituted without written approval referencing a drawing revision. This preserves the interface you specified when supply conditions change.

Place these five obligations in a single “Interface and Integration” schedule that every module row cross-references by number, so the rule applies to printers, scanners, cash acceptors and card readers alike — not just to whichever module the buyer happened to describe in detail.

Clause Template: Module Mounting Pitch and Hole Pattern

The following clause can be pasted directly into the RFQ schedule and repeated per module row, with the framing values substituted from the project’s own kiosk module mounting and cable routing plan.

The supplier shall state, for each module listed, the mounting pitch and hole pattern of the module mounting face, expressed as centre-to-centre distances in millimetres, hole diameter, and thread type. Each stated value shall carry a reference to the supplier drawing revision on which it is based. Where a mounting adapter, spacer or bracket is required to achieve the stated pitch, the supplier shall identify that adapter as a supplied part, list it in the bill of materials, and state its material and thickness. A quotation that describes a module as compatible with the enclosure without stating pitch and hole pattern shall be treated as non-responsive to this clause.

This matters because pitch errors do not fail at the vendor’s bench — they fail at installation, when the enclosure is already anchored and the module does not line up. A compliant answer looks like two things together: a drawing reference plus a stated pitch value. Either one alone is insufficient.

Clause Template: Connector Type, Pinout and Signal Ownership

The same discipline applies at the electrical boundary, and it is where the kiosk technical specification for procurement either becomes verifiable or stays vague. Use the table below as the disclosure matrix for each module.

The supplier shall classify every module interface as either open-specification or proprietary. For open-specification interfaces, the supplier shall name the published standard. For proprietary interfaces, the supplier shall name the owner of the interface, the revision identifier, and the source from which the buyer may obtain the pinout. Interfaces not classified shall be treated as proprietary controlled items for change-control purposes. Where the supplier declines to disclose a proprietary pinout, the buyer may require a spare harness or adapter set to be quoted as part of the supply, priced separately and listed in the bill of materials.

That last sentence matters because it gives the buyer a defined remedy when the vendor will not disclose. If the pinout stays closed, the spare harness becomes the buyer’s protection against an unsourced failure.

Clause Template: Cable Routing, Bend Radius and Service Clearance

Custom kiosk enclosure design requirements should name routing as a deliverable, not a manufacturing detail. Apply the clause below to every harness inside the cabinet.

The supplier shall document, for each internal harness, the intended routing path, the minimum bend radius, and the connector retention method. The supplier shall state the internal service clearance measured at the module face, expressed in millimetres, with the enclosure in its installed position. The supplier shall also state the routing allowance provided for field re-work, being the additional cable length available at each module without disconnecting adjacent modules. Values stated shall be traceable to the supplier drawing set.

Demand measurable values, not adjectives:

  • Minimum internal service clearance at the module face, in millimetres, with the enclosure installed as specified.
  • Documented minimum bend radius for every harness, separately for power and signal where they differ.
  • Routing allowance for field re-work, stated as extra cable length available at each module.
  • Connector retention method, so that vibration and repeated service do not loosen the mating face.

Those numbers decide whether a technician can service the unit without removing the enclosure. A quotation that offers “easy access” without a figure has not answered the clause.

Review-Trigger Table: When to Stop and Ask for a Drawing

This table is the working part of the self-service kiosk quotation checklist: when a supplier answer appears in the left column, apply the middle column to the risk and the right column to the action. Stop the evaluation at the table, request the drawing, and resume only when the answer is traceable.

Across a typical module set this table catches most of the interface risk before it reaches the production order. Unlike the module list, the interface layer is where the quotation either commits the vendor or leaves the specification open — and the table is what makes that boundary visible to a procurement reviewer who is not an engineer.

Substitution Approval and the Change-Control Clause

For any kiosk OEM ODM project requirements document, the substitution rule is the clause that keeps the interface stable after the quotation is signed. Use this wording.

No module, bracket, harness, connector or mounting adapter may be substituted, re-sourced or redesigned without the buyer’s written approval. Each approval request shall reference the affected drawing number and revision, the interface values that change, and the effect on the previously quoted price and lead time. Approval shall be recorded as a written revision to the interface schedule. Modules delivered against an unapproved substitution shall be treated as non-conforming.

The mechanic matters as much as the wording. Written approval creates a dated record; the drawing revision reference ties that record to a specific interface definition; and the price statement prevents a substitution from becoming a silent cost pass-through. If a substituted module changes the connector family or the mounting pitch, the price of the adapter, harness or bracket changes with it, and the clause requires that to be priced rather than absorbed.
